FIRE GROUP LLC ("Fire Group", "we") is a manufacturer and wholesale trader. Most of the people whose data we handle are representatives of our business partners, farmers and people who contact us about our products. This policy explains what we collect, why, and the choices you have. It follows the Law of Ukraine "On Personal Data Protection" and, where applicable, the EU General Data Protection Regulation.

1. Controller and contact

2. Categories of data

• Business contact data: name, position, company, work email and phone of employees of customers, suppliers, distributors and carriers.
• Counterparty verification data: information about the directors and beneficial owners of companies we trade with, collected to meet anti-money-laundering and sanctions screening obligations.
• Farmer and producer data: for individual farmers and sole proprietors, name, tax number, farm location, crop or herd information, and bank details for payments.
• Product safety reports: the reporter's contact details and a description of the event, which may include information about animals, crops or, rarely, a person's health if a human was exposed to a product.
• Licensing data: details of licences or certificates entitling a buyer to purchase restricted agrochemicals or veterinary medicines.
• Website data: contact form contents and basic technical logs.

3. How we use data

• Preparing offers, concluding and performing supply and trading contracts.
• Verifying that buyers of restricted products are entitled to buy them.
• Organising logistics, veterinary documentation and quality inspections for grain, livestock and meat.
• Investigating product safety reports, informing regulators when required, and improving our products.
• Complying with tax, customs, sanctions and product registration rules.

Legal grounds: performance of a contract, legal obligations, our legitimate interest in product safety and business continuity, and consent where we request it.

4. Health information in safety reports

If a safety report concerns human exposure to a product, we treat any health information as sensitive data. It is accessed only by the quality team, used only to assess the incident, and shared with a state authority only where the law requires notification. Where possible, we remove the person's identity before the report is analysed.

5. Recipients

We share data with carriers, elevators, laboratories and state veterinary services involved in fulfilling a trade; with the State Service of Ukraine on Food Safety and Consumer Protection and other regulators when required; with banks and auditors; and with our IT service providers under confidentiality agreements. For export trades, data may be passed to foreign buyers or customs authorities outside Ukraine, only to the extent needed for the shipment.

6. Retention

• Contract, shipment and accounting records: for the periods set by Ukrainian tax and accounting law.
• Counterparty verification records: 5 years after the business relationship ends.
• Product safety reports: for the shelf life of the affected batch plus 5 years.
• Unanswered or declined enquiries: 12 months.

7. Security

Access to commercial and safety databases is role-based and logged. Staff with access to safety reports and verification data receive specific confidentiality training.

8. Your rights

You may ask whether we process your data, obtain a copy, have it corrected or deleted where retention is not legally required, restrict or object to processing, and withdraw consent. We respond within 30 days. Complaints may be sent to the Ukrainian Parliament Commissioner for Human Rights, or to your local supervisory authority in the EU.

We use no marketing or analytics cookies on this website; only technical storage needed for the site to work.
